Microsoft Dynamics GP or its predecessor Great Plains Dynamics on MS SQL Server, Pervasive SQL 2000 /Btrieve and Ctree are open on the database level for possible surgery. This is different from three tiers applications, such as SAP R3 or Axapta, where you cannot just go to the database querying tool and fix data there. In our opinion, Great Plains gives you more flexibility to do what you need with reasonable SQL DBS support to fix things when they happen. When Great Plains on Microsoft SQL or Pervasive are in stable production phase, you may expect something to happen few times per year. For mid-size company in our opinion Dynamics GP architecture with openness to the SQL querying is optimal, where if you need custom logic to be introduced, you can do it directly in SQL tables, versus engaging with customization partner and coming through the customization design, implementation and testing cycles. However in some cases that particular potential advantage could give you hard time, where you got issues, associated with open SQL database (where in might be too challenging for the Dynamics GP programmers to roll back all the traces of batch being in posting cycle or transaction not fully saved, where they do not enjoy the three tiers Corporate ERP architecture). Fixing Dynamics GP/Great Plains Dynamics data in the SQL level is not really too challenging, if you entrust it to the professionals. Let's review typical situations:
1. Batch Posting issues. This topic was the leader for earlier Great Plains Dynamics and eEnterprise versions. The issue was so annoying that with Dynamics GP version 7.5/8.0 Microsoft introduced Batch recovery interface, where if you are logging GP with the same credentials as the user who experienced batch crash in posting, you should be prompted to the steps to recover the batch. What the wizard really does – it repairs SY0500 (Posting Master file) and in some cases SY0800 table (please, note that the second one is located in Dynamics database)
2. Locked User from the ghost Great Plains session. Each Dynamics GP or old version Great Plains Dynamics consultant knows how to resolve this issue. In the case of Pervasive SQL or Ctree simply have all the Great Plains users log off and then delete Activity.BTR (Pervasive SQL 2000/Btrieve) or Activity.DAT (Ctree) file in DynamicsSystem directory. In the case when you are on MS SQL Server (7.0, 2000, 2005, 2008) you are more flexible and you can just delete the user from Dynamics..Activity table by user id
3. Dynamics GP or older Great Plains data repair causes classification. This is our personal opinion, but we tried to elaborate our questionnaire with Microsoft Business Solutions officials and former Great Plains Software key speakers. Modern computer technology is not really there where multitasking is recommended. If you are Dynamics GP user, who is in charge to post several hundred of transactions in one or several batches (Master Posting) – we really respect your desire to enjoy batch posting interval for socializing on Facebook or Twitter, or even downloading something from the internet. Please, keep in mind – Dynamics GP posting process is controlled by your user workstation processor. If by whatever reason your computer crashes, batch posting process will be in limbo and you might need to seek batch posting resume help. We assume that in large corporations their Corporate ERP user policies are enforced and when you are posting in AX or SAP – you are banned from non-work related activities, in the case of Great Plains you may enjoy the more relaxed policies (or the absence of those) in smaller companies
4. Definitely Dynamics GP Data repair is routine for Great Plains Technical Consultant, but it might be too complex to resolve for chosen Great Plains Local Partner, especially when they do not carry technical or programming oriented consultants in staff. If the situation is close to your case, please consider to appeal to nationwide Dynamics GP consulting firms, where you not necessarily have to pick
